Statement of service
The Careers and Employment Service is part of Academic and Student Services at the University of West London.
Overall aim
The Careers and Employment Service aims to meet the diverse and changing career needs of all University of West London students and graduates, supporting them with their career planning by providing access to the best information, guidance and opportunities.
Who is the service for?
All students of University of West London at Ealing and Brentford (part-time, full-time and open learning) have free access to our Careers and Employment Service. This includes: FE students, access students, undergraduates, HND students and postgraduates.

University of West London graduates are welcome to use the service for up to three years after graduating.

Non University of West London graduates have access to a reduced service for up to three years after graduation.

University of West London graduates and graduates of other universities need to ring us on 0208 231 2700 to gain entry to the Library at Ealing
What do we offer?
Guidance
We offer a welcoming, supportive and motivating environment in which students can discuss opportunities, identify their skills, interests and abilities and make informed decisions about their future.
Students and graduates can get help with job search, courses of further or higher study and advice on any other career related matters. In some cases students may be referred to other staff or services within or external to the university.
At Ealing students can use the Drop in service for a 15 minute consultation with a careers adviser. There is no need to book. Longer, individual appointments of up to one hour can also be booked.
These advice sessions run throughout the year on all campuses and times are advertised on careers notice boards in each Faculty.
Careers in the curriculum
We provide structured careers education programmes for students to help them meet their career development needs. The Careers and Employment Service is involved in a number of curriculum initiatives to support and enhance the employability of students and graduates, including accreditation of work experience programme and the Career Management Skills module.
Information
The Careers Resource Area (CRA) at Ealing is open at the same time as the Learning Resource Centre and is open access. Information in the form of leaflets, brochures, books, videos, DVDs and website addresses is held on employers, occupational areas, postgraduate programmes and job search strategies. Much of this information can be taken away.
Website
The Careers and Employment Service website contains information and advice on a range of career areas together with useful links to other websites.
Employment Service
Students and graduates can register with the Employment Service and receive part-time, full-time and temporary vacancies. Please ask at the Help Desk at Ealing.
Computer packages
Careers software packages are available on line.Please ask at the Help Desk at Ealing.
University of West London graduates and graduates from other universities can access this software via designated PCs in the Careers Resource Area at Ealing. Please ask a member of staff for help.
A service for non University of West London graduates
Non University of West London graduates can access the service, free of charge, for up to three years after graduating, as follows:

Use of the Careers Resource Area including computer software packages.

15 minute drop in session with a careers adviser.

Attendance at career management workshops.
What you can expect from the careers and employment service
All clients accessing the service are covered by the Student Charter and a range of Careers and Employment Service / University of West London policies including: Equal Opportunities, Disability Statement, Data Protection Notice and General Complaints Procedure. Please see the
Student handbook for more details.
A service that is confidential and impartial, with access to private interviewing facilities (please refer to the Careers and Employment Service Data Protection Policy).
To be seen by professionally qualified and / or experienced members of staff who undergo continuous professional development.
A written action plan detailing advice given and any suggested next steps, if requested.
Your personal details to be treated in the strictest of confidence and not passed to a third party without your agreement. All our client records are reliably, accurately and securely stored and access is controlled to maintain client confidentiality (please refer to the Careers and Employment Service Client Records Policy).
Assistance with finding full and part-time work, with access to vacancies and advice on application procedures. This could include appropriate use of the phone and fax within the Careers and Employment Service in order to apply for vacancies advertised through the Careers and Employment Service.
If due to unforeseen circumstances your appointment is cancelled we will try to contact you as soon as possible to arrange another suitable time.
What the careers and employment service can expect of you:

to take responsibility for managing your own career development by using the range of resources and help available from the Careers and Employment Service

to provide us with full, accurate and up to date information as requested

to treat all staff and other users of the Careers and Employment Service with courtesy and respect

to respond to our request for information on what you are doing after graduation (part of the government's Destination of Leavers from Higher Education Survey)

to let us know as soon as possible if you cannot keep an appointment or attend an event you have signed up for

to adhere to the Student Charter as lay down by the university in the student handbook.
Limitations of the service
At Ealing the occupational information in our Careers Resource Area mainly focuses on careers relating to courses at University of West London.
We do not offer a word processing service, however we will advise you on producing CVs, covering letters and personal statements.
There may be occasions when we may have to close during our advertised opening times. We will give as much notice as possible via our website and notice boards.
National standards
The Careers and Employment Service operates within a set of national professional standards including
The Quality Assurance Agency Code of Practice on Careers Education, Information and Guidance
The EMQC Matrix standard for Information, Advice and Guidance Services.
The Careers and Employment Service achieved accreditation in June 2003, reaccreditation in October 2006 and most recently reaccreditation in January 2010.
How can I give feedback on the service I receive?
We welcome your views on the service we provide. This helps us to review, evaluate and improve our standards. From time to time we may ask you to complete a feedback questionnaire on a specific part of our service.
If you wish to comment on any aspect of the service, whether positively or negatively, in the first instance please tell a member of staff, e-mail us at
careers.feedback@uwl.ac.uk or write to us at the address below. We will try to deal with any complaint or problem immediately but if we are unable to do so, the Head of Service will contact you within five working days.

Opening times are as follows:
- Help desk (for general enquiries):
- Monday - Thursday, 10am - 4pm. Friday closed
Drop-in (15 minutes with a careers adviser):
- Monday - Thursday, 1pm - 4pm.
- first Tuesday of the month: 5pm - 7pm by appointment
- Friday, booked appointments only.
Individual appointments can be booked with a careers adviser after attending a drop in session.
Service at Paragon - a careers adviser is also available at Paragon on alternate Thursdays. Please ring 0208 231 2582 for details.
During the summer vacation, July - September, the level of service at both sites may be reduced and times may change.

Confidentiality policy

The Careers and Employment Service offers a confidential service to its clients.
-
If a client has been in contact with the Careers and Employment Service this will not be disclosed to anyone without the express permission of the client unless there is a danger to others and themselves and / or it would be against the law not to do so.

Any information disclosed by the client will not be passed on to anyone outside the Careers and Employment service without the permission of the client.

As far as is practicable, guidance interviews will be held in a private place.

All referrals to other agencies will be made with the full permission of the client.

If an enquiry is made by a third party about a Careers and Employment service client, no details will be revealed without the permission of the client.

Client records policy
Where the Careers and Employment Service keeps client records this will be in line with relevant data protection, equal opportunity and rehabilitation of offender’s legislation and good practice. Staff will be informed of the Careers and Employment Service policy during induction and via staff training.
The Careers and Employment Service will maintain client records electronically and in paper formats. Data will be collected, recorded, stored, accessed and disposed of in accordance with the Data Protection Act 1984 and 1998 and in accordance with the University’s policies on Data Protection (see student handbook).
Client records shall be legible, identifiable, and stored and maintained in such a way that they are readily retrievable and protected against damage, deterioration or loss. Manual records will be kept in a secure environment. Electronic records will be password protected.
Client records will be processed in accordance with the principles in the Data Protection Act 1998.
It will be explained to clients that they are entitled to copies of all documents referring to them.
Where appropriate, staff will explain to clients that all records:

Will be treated in the strictest confidence, and will only be accessible to staff directly concerned with the delivery of service to the client.

Will only be retained with the full knowledge of the client.

Will be accurate and kept up-to-date.

Will be stored in a secure environment to prevent unauthorised access.

Will not be passed on to a third party without the prior permission of the client except in the case where there is clear evidence of a serious risk to either the client or to the welfare of others. Where appropriate, clients will be made aware of the implications of the Rehabilitation of Offenders Act 1974 and the Child Protection Act 1989

Will be disposed of according to university policy.
The Head of Service is responsible for monitoring the implementation of this policy and ensuring that client records are held in accordance with this policy

Referral policy
Careers and Employment Service staff offer impartial information, advice and guidance appropriate to clients.
It may sometimes be necessary to refer the client to an internal department or external agency. Please see referrals list.
Staff who makes referrals to other agencies will have sufficient knowledge of these agencies/sources of help and an understanding of the clients’ needs to provide the client with the appropriate referral.
The reasons for referral will be fully explained to the client.
It is the responsibility of the client to make use of the referral/contact/service suggested.
The client will be provided with the name of the referral organisation, contact details and location.
Where a referral takes place during a guidance interview this will be noted on the client record.
Clients being referred to another service will be encouraged to provide feedback on that service.
If advocating on behalf of a client with a referral organisation, staff will adhere to the principles of the Data Protection Act (1994, 1998), the Rehabilitation of Offenders Act (1974) and the Careers and Employment Service Confidentiality Policy and Client Records Policy.
