Staff arranging trips overseas must register with Travel Guard first

All travel should seek to further the reputation or competitive position of the University. The policy reflects an approval and booking route which seeks to establish the optimal balance the objective of furthering the University’s interests and our obligations around due process and duty of care.

Purpose of the Business Travel Policy

  • To ensure value for money
  • To fulfil our duty of care and legal requirement to properly prepare our Employees for Travel on University’s Business
  • To ensure that any travel on University’s Business is correctly risk assessed, authorised and managed.

Scope of the Business Travel Policy

This policy applies to;

  • All employees of the University
  • All students of the University who are travelling for field trips on learning and research purposes
  • All representatives of the University travelling on University Business.

Policy in Summary

It is UWL policy that all travel is booked through Ian Allan Travel Management Company. All air travel is assumed to be by economy class or equivalent. First class, Business class or any class above Economy for air travel must be pre-approved by the Executive Director of Finance. An email will suffice to this approval. 

It is mandatory requirements that all travellers for each trip outside of the UK complete a Risk Assessment which can be found at the bottom of this page. The Risk Assessment procedure applied in all cases of travel, however, booked.
